Smart Schools ("we", "our", or "us") is a digital platform designed to manage school operations including student information, attendance tracking, communication, and parent engagement. We respect your privacy and are committed to protecting your personal data in compliance with the Personal Data Protection Act 2010 (PDPA) and applicable app marketplace policies.
2. Information We Collect
We collect information necessary to provide our school management services.
2.1 Personal Information
We may collect: Full name, Email address, Phone number
2.2 Student Information
For enrolled students, we collect: Full name, email, class and grade level, parent/guardian contact details. This information is provided by parents, teachers, or school administrators.
2.3 Usage Data
We automatically collect: Device type and operating system, App version, Log data (access times, features used), IP address.
2.4 Uploaded Content (If Applicable)
Users may upload documents, photos, or files (e.g. timetables, notices). These are stored securely and accessible only to authorised users within the same school.
3. How We Use Your Information
We use collected information to: Provide and operate the Smart Schools platform, Manage student attendance and records, Send notifications and announcements, Authenticate users securely, Improve our app and services, Comply with legal obligations.
4. App Permissions
Our app may request the following permissions: ● Camera Access Used for teacher attendance (self check-in) and uploading supporting documents ● Location Access Used to verify teacher attendance during check-in Location data is used only within the app and is not shared with third parties ● Storage / Media Access Used to upload profile images or documents ● Push Notifications Used to deliver announcements, attendance updates, and important alerts We only request permissions necessary for functionality and do not access data without user consent.
5. Authentication & Security
We use industry-standard authentication (AWS Cognito) and HTTPS encryption for all data in transit. Passwords are never stored in plain text. Access tokens expire and are refreshed securely.
6. Data Storage
Your data is stored on secure cloud infrastructure (AWS). Data is retained for as long as your school account is active. Upon account termination, data is deleted within 30 days unless required by law.
7. Account Deletion
You have the right to request deletion of your account and associated data.
7.1 How to Delete Your Account
You may: ● Use the "Delete Account" feature in the app settings, OR ● Contact us via email
7.2 What Happens After Deletion
● Personal data will be deleted within 90 days ● Some data may be retained for legal or operational purposes: ○ Attendance records → retained based on school requirements ○ System logs → retained for security and auditing
8. Children’s Privacy
● The App is intended for parents, teachers, and school administrators ● Student data is managed by authorized adults ● We do not knowingly collect personal data directly from children without supervision
9. Data Sharing
We do not sell your personal data. We may share data with: Cloud service providers (AWS) for infrastructure, Third-party notification services (Firebase FCM), Law enforcement when required by law.
10. Your Rights
You have the right to: Access the personal data we hold about you, Request correction of inaccurate data, Request deletion of your data, Withdraw consent where processing is based on consent.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be notified via the app or email. Continued use of the app after changes constitutes acceptance.
